Qualification Rubric

What this is: A lightweight scoring rubric to help you decide whether a lead is a strong, possible, or weak fit.

When to use it: Use this right after discovery while the call is still fresh, before you send any follow-up.

How this connects: Score the lead using this rubric, update the status in your tracker, and then choose the matching follow-up template.

Score each area from 1 to 3.

1. Fit

  • 3 = strong match for your service and working style
  • 2 = possible fit, but some details need clarification
  • 1 = weak fit or outside your lane

2. Urgency

  • 3 = clear reason to move soon
  • 2 = moderate urgency, timeline still flexible
  • 1 = vague or low urgency

3. Budget likelihood

  • 3 = budget seems viable for the work
  • 2 = unclear but plausible
  • 1 = weak or unrealistic budget signal

4. Project clarity

  • 3 = problem and desired outcome are clear
  • 2 = partly clear, needs more detail
  • 1 = vague or inconsistent

5. Follow-up priority

  • 3 = should move quickly
  • 2 = worth pursuing, but not urgent
  • 1 = low priority or likely not worth more time

Decision guide

  • 13–15 = Strong fit
  • 9–12 = Possible fit
  • 5–8 = Weak fit

Usage notes

  • Keep this simple.
  • Do not turn it into a complex weighted model.
  • Use it to support judgment, not replace judgment.
  • Map the final outcome back into your tracker status and next action.

Worked example

Example lead after discovery:

  • Fit: 3 (strong match for your service and working style)
  • Urgency: 2 (moderate urgency, timeline still flexible)
  • Budget likelihood: 2 (unclear but plausible)
  • Project clarity: 3 (problem and desired outcome are clear)
  • Follow-up priority: 3 (should move quickly)

Total score: 3 + 2 + 2 + 3 + 3 = 13Strong fit (send proposal-focused follow-up and set a clear deadline).

Simple layout suggestion

In Notion, a spreadsheet, or your tracker, you can add columns:

  • Fit (1–3)
  • Urgency (1–3)
  • Budget likelihood (1–3)
  • Project clarity (1–3)
  • Follow-up priority (1–3)
  • Total score (automatic sum or manual)
  • Fit decision (Strong / Possible / Weak)
